Employee social media kit: specs for profile pics and banners

This reference sheet covers the full technical specification for preparing an employee social media profile picture and banner kit: one export set that every team member can upload without you redesigning a single file per person. It documents the kit scope, exact pixel dimensions, file formats, ZIP naming conventions, safe-area rules, and export type guidance. Use it alongside Paraph Team or Business to generate personalised, brand-locked assets at scale.

Prerequisites: You need admin access to your Paraph workspace and a completed master brand profile (logo, colour palette, approved signature and social templates). Employees upload their own downloaded assets manually to each social platform. Paraph does not post, schedule, or administer social accounts on anyone's behalf.

Kit scope: which platforms and asset types are included

Paraph generates two categories of downloadable social asset:

  • Profile pictures for LinkedIn, X, Facebook, Instagram, and Threads
  • Social covers (banners) for LinkedIn, X, and Facebook

A profile picture is a square or circular-displayed headshot or branded portrait tied to a personal account. A cover (sometimes called a header or banner) is the wide background image displayed behind or above the profile picture on a channel page. The two assets are distinct exports with different dimensions, aspect ratios, and cropping behaviour.

The intended workflow: a brand manager generates or approves assets centrally in Paraph, employees download their personal files from the workspace, and each person uploads those files directly to their accounts. There's no per-employee redesign, no back-and-forth with a designer, and no risk of someone using an off-brand crop or incorrect file.

Exact pixel dimensions and aspect ratios per platform

The table below lists the recommended export dimensions for each asset in the kit. These values reflect current platform guidance as of 2026. Where a platform stores a higher-resolution file than it displays, the recommended export dimension is the largest commonly supported size that ensures quality at all display sizes.

Notes on LinkedIn personal vs company pages: The Paraph social kit targets personal (employee) profiles. LinkedIn Company Page cover dimensions differ (1128 x 191 px); do not use the personal banner spec for a company page, or the file will render incorrectly.

Threads: Threads inherits profile photo data from a connected Instagram account in many configurations, but the recommended standalone export is 640 x 640 px at 1:1.

PNG is preferred for profile photos and banners that include logos, text overlays, or sharp edges, because PNG uses lossless compression and avoids JPEG artefacts around fine detail. JPEG is acceptable for photographic covers without text, where the smaller file size is useful. Avoid GIF for static social profile exports; GIF's 256-colour palette will degrade photographic portraits.

ZIP structure and naming convention

Organise each employee's kit in a single ZIP archive. The recommended filename pattern is:

{platform}-{asset-type}-{employee-identifier}.{ext}

Where:

  • {platform} is one of: linkedin, x, facebook, instagram, threads
  • {asset-type} is one of: profile, cover
  • {employee-identifier} is a normalised name or internal staff ID (lowercase, hyphens, no spaces)
  • {ext} is png, jpg, or gif

Single resolution per asset

Paraph exports one file per asset at the recommended dimensions listed above. Employees should upload the provided file directly. There is no need to resize before uploading; the platform will handle display scaling from the exported dimensions.

Safe-area and cropping guidance

Circular masking on profile photos

Every platform in this kit (LinkedIn, X, Facebook, Instagram, Threads) applies a circular mask to profile photos in the UI. The image file itself is always square, but the corners are hidden. Any logo, text, or critical element placed near the corners of a profile photo will be clipped in normal display contexts. Keep all visual content within a centred circle that insets at least 10% from each edge of the square.

For a 400 x 400 px export, that means critical elements should stay within a 360 x 360 px centred circle (20 px clear on each side). For a 640 x 640 px Threads export, allow at least a 576 x 576 px safe circle.

Banner cropping on desktop vs mobile

Cover images are not displayed at their full exported dimensions in all contexts. Each platform crops or repositions the banner depending on the viewport:

  • LinkedIn (1584 x 396 px): Desktop shows most of the image. Mobile scales and may show a taller crop. Keep key content horizontally centred and vertically within the middle 50% of the image height.
  • X (1500 x 500 px): Mobile crops roughly to a 3:2 ratio centred on the image. Text and logos should stay within a 1260 x 420 px safe area centred on the canvas, leaving 120 px clear on each side and 40 px top and bottom.
  • Facebook (851 x 315 px): Mobile displays approximately 564 x 315 px from the horizontal centre of the image. Keep critical content within the central 564 px of width.

Profile picture overlap on banner (LinkedIn)

On LinkedIn personal profiles, the profile photo overlaps the bottom-left region of the cover banner. On desktop, the profile photo circle sits approximately 24 px from the left edge and extends upward from the bottom of the banner by roughly 60 px. This means anything placed in the lower-left corner of the banner will be partially or fully obscured by the profile photo.

Rule: do not place logos, taglines, or essential text within a 200 x 120 px zone at the bottom-left of a LinkedIn cover export. Test your template by overlaying a circle in that position before distributing.

Pre-distribution checklist for brand managers

Run through this checklist before sending the kit to employees:

  • All profile photo exports are square at the specified pixel dimensions
  • All profile photos have critical content within the circular safe area (10% inset from each edge)
  • LinkedIn banner has no critical content in the bottom-left 200 x 120 px overlap zone
  • All banners have critical content within the centred safe area for their platform (not pushed to edges)
  • Files are named using the agreed convention and match the correct employee
  • All files are PNG unless a JPEG-only exception was approved
  • File sizes are within platform limits (LinkedIn profile max 8 MB; all other assets ideally under 5 MB)
  • ZIP archive opens cleanly and contains the expected file count

Still vs animated exports

Default for social kits: still images

Paraph's downloadable social assets (profile pictures and covers) are still image exports. There is no animated profile photo or animated cover banner included in the social kit. Platforms have their own policies and technical requirements around animated profile photos, and these vary by account type, region, and subscription tier. The Paraph kit does not attempt to produce animated social exports for that reason.

Export what the platform will reliably display. A clean, high-resolution static PNG renders correctly for every employee on every platform, every time.

Animation in the Paraph pipeline: email signatures only

Paraph's Shatter, Glimmer, and Shimmer animations apply to email signatures, not to social kit exports. These animations are rendered as GIFs in the email signature context. GIF playback depends on the email client, version, and settings in use, which means the same animated signature can display as a moving GIF in one inbox and as a still image in another.

Because of this, Paraph guidance for animated email signatures requires a readable first frame: the GIF's first frame must function as a complete, fully legible static image, so that any email client that doesn't play the animation still presents a professional result. This is not a fallback option; it's a non-negotiable export requirement for any GIF asset used in communications.

If you're producing a social kit alongside animated email signatures in Paraph, keep the two pipelines distinct:

  • Social profile pictures and covers: PNG exports, still images, uploaded manually by employees to their accounts
  • Email signature animation: GIF with a readable first frame, installed via Gmail, Outlook, or Apple Mail following Paraph's installation guidance

Don't repurpose an email signature GIF as a social profile photo. The aspect ratio, safe-area rules, and file format requirements are different, and GIF's colour limitations will visibly degrade photographic content.

Managing the kit at team scale with Paraph
