Push an email signature to your team: Paraph admin workflow

Centralised email signature management is a common headache for brand and operations teams: someone joins, a campaign changes, or a logo gets updated, and suddenly you're chasing twenty people to install the right file. This guide walks through how to build one master signature template in Paraph, configure which fields stay locked to your brand standards, publish it, and get your team using it, without touching each person's inbox manually.

Who this is for: Admins or brand ops managers on a Paraph Team or Business plan, responsible for deploying a consistent signature across a professional services team.

Prerequisites: An active Paraph workspace with Team ($29/month, 25 seats) or Business ($79/month, unlimited seats) access. Check getparaph.com/pricing for current plan details before you start.

Difficulty: Low. Expected time: 20-30 minutes for initial setup; 5 minutes per subsequent update.

What "push to team" means in Paraph

Paraph doesn't use server-side email injection or automatic mailbox installation. Instead, the workflow is: you build and publish a master signature, teammates access their personalised version from the workspace, and each person copies the rendered output or exports the HTML to install it via installation guidance for Gmail, Outlook, or Apple Mail.

The admin controls the brand layer. Each teammate populates their own personal fields (name, title, photo, phone). Once you publish an update, the new version is immediately available to teammates the next time they access their workspace.

Step 1: Build the master signature template

  1. Open your Paraph team workspace and navigate to the Signatures section.
  2. Select New signature or open an existing master signature to edit.
  3. Choose a design template. Paraph offers options including Concierge, Showcase, Dispatch, Aurora, and others. Pick one that suits your brand layout.
  4. Enter the shared brand content: company name, website URL, brand colours, logo, and any campaign banner you want applied across the team.
  5. For Team and Business plans, you can add animated elements (Shatter, Glimmer, or Shimmer) to your logo or portrait. Note that GIF playback depends on the email client, version, and settings. Always confirm the signature reads clearly as a static image too.
  6. Leave teammate-specific fields (name, title, direct phone, photo) in their placeholder state. These are filled individually per teammate.

Checkpoint: Open the preview panel. The signature should display your logo, brand colours, and layout correctly, with placeholder text in the personal fields.

Step 2: Set locked and unlocked fields

This is where centralised control actually happens. Locked fields are set by the admin and can't be changed by teammates. Unlocked fields let each teammate enter or update their own values.

Typical configurations for professional services teams:

  • Lock: logo, brand colours, campaign banner, legal footer text, social kit assets. Unlock: name, job title, direct phone number, profile photo.
  • Lock: required compliance or disclaimer text. Unlock: preferred display name (if your policy allows variation).
  • Lock: all visual assets. Unlock: nothing (read-only, download-only access for teammates who just need a clean copy).

The most common mistake at this stage is unlocking fields that should remain policy-controlled, such as the logo or footer, which results in teammates inadvertently modifying or removing brand elements. Lock anything that belongs to the brand identity, not to the individual.

Checkpoint: Review the field status list. Confirm that every brand asset and compliance element shows as locked before you proceed.

Step 3: Preview, then publish

  1. Run a preview using a representative teammate's details (typical name, title, photo). This catches layout issues before anyone else sees the output.
  2. Confirm the rendered signature looks correct at the preview state.
  3. Select Publish. The updated master signature is now available to all teammates in the workspace.

If your signature includes animation, verify that the first frame is readable as a still image. Outlook (particularly the classic desktop version) and some mobile clients don't play GIFs, so the static fallback is what many recipients will actually see.

Checkpoint: After publishing, open one teammate's workspace view and confirm the updated signature is available for them to copy or export.

How teammates receive and install the update

There are three ways teammates get access to a published signature:

  1. Invitation by admin: Send individual email invitations from the workspace. Each person receives a link to their personalised signature.
  2. CSV import: For larger teams, upload a CSV file with teammate details (name, title, email, phone) to bulk-create personalised signatures in one step.
  3. Workspace access after publish: For existing teammates, the updated master is available immediately the next time they log in.

Once a teammate has access, the process is straightforward. They open their signature in the workspace, check the preview, then either copy the rendered signature output directly into their email client's rich-text signature field, or download the HTML and follow the Paraph installation guidance for Gmail, Outlook, or Apple Mail.

Don't instruct teammates to paste raw HTML into a standard signature text box. It won't render correctly. The copy-rendered-output method or the guided HTML install path are the right approaches.

Paraph's social kit assets (profile pictures and covers for LinkedIn, X, Facebook, and others) are downloaded and uploaded manually to each social account. Paraph doesn't post to or administer social accounts automatically.

Checkpoint: Confirm with one test teammate that they've successfully installed and can send a test email showing the correct signature before rolling out to the full team.

Admin checklist before full rollout

  • Brand assets (logo, banner, colours) uploaded and approved in the workspace
  • Locked fields reviewed and confirmed for all brand-controlled elements
  • Preview run using sample teammate data (name, title, photo)
  • Signature reads correctly as a static image (animation is a bonus, not a dependency)
  • Published master confirmed live in the workspace
  • One pilot teammate has installed and tested successfully

Troubleshooting

Animation not playing

GIF playback varies by email client, version, and settings. Outlook desktop often shows only the first frame. Apple Mail and Gmail generally support GIF playback, though this can depend on the specific version. Design your signature so the first frame is fully informative; treat motion as an enhancement rather than a requirement.

Signature layout looks wrong for a specific teammate

Start by checking the locked field configuration. If a brand field is accidentally unlocked, a teammate may have inadvertently changed a value. If locks are correct, check whether that teammate's personal field values (name, title, phone) are populated correctly in the workspace. Outdated or missing values in personal fields are the most common cause of layout inconsistencies.

Deploying to Microsoft 365 or Google Workspace

Paraph's install flow works alongside Microsoft 365 and Google Workspace. Microsoft Learn notes that organisation-wide signatures can also be configured using Exchange mail flow (transport) rules for server-side append behaviour. Google Workspace supports signature footers via the Admin Console. Paraph's approach is client-side: teammates install via the copy or HTML export method within their own Gmail or Outlook client. Follow Paraph's installation guidance for the specific client.

When will my team see an update?

Once you publish the updated master, it's immediately available in the workspace. Teammates see the new version the next time they access their signature. There's no propagation delay on Paraph's side; the timing depends on when each person next opens their workspace and reinstalls.

Running a centralised team email signature through Paraph means you control the brand layer once, publish it, and teammates handle their own installation with a clear, guided process. For professional services teams managing email signature campaigns or brand updates across multiple people, that separation of brand control and personal personalisation is what keeps signatures consistent without constant admin overhead. Once the master is published and your pilot test is clean, CSV import and invitations make full-team rollout straightforward.
